Grex Board Meeting: Thursday June 8, 2017

Attending were cross, kentn and unicorn. We have a quorum. tod sends
his regrets.
* Meeting was called to order at 7:45 p.m.
* Our next meeting will be decided in e-mail.
* Business
- We discussed how to get the 3:2 director election split and
elect the 5th director. One way would be one director resigns
then runs in the next election.
- Setting up an election requires publicity and encouraging members
to make sure their memberships are up to date. The only votes that
count are member votes. It also requires a vote administrator to
set up the software.
- There was discussion of how to improve the vote software or
rewrite it. For now we can continue with the existing software.
- We discussed our corporation status. Todd was working on getting
us up to date on our Michigan corporate filings. He was not
at the meeting, so Dan will check with him.
- Treasurer's report: is deferred, although we are sure we
have a healthy PayPal balance, as well as money in the bank.
* Staff Report
- Main item is the system update to Open BSD 6.1 (from version
5.3). This led to updating Grex's applications, including
locally-written ones to work under the new OS. The new OS
appears to be a little faster than the old one.
- nginx is our web server now instead of an old version of apache.
Dan was able to get nginx authenticating users with the system
password file, so we can still access the bbs from the web, and
the RT help desk software is still working.
- This system upgrade demonstrates that we could switch to FreeBSD
in the future, using ngingx, without losing any of our usual
applications, like web-based bbs and RT help desk. The big
roadblock to doing so, authentication against the password file
under nginx, has been solved.
- User mailboxes now reside in the users' home directories. This
gets e-mail located on partitions with more space than the
previous /var/mail area. Some tweaking of user settings is
necessary to use the mailbox in its new location but it is a minor
change. - IMAP & POP3 mail is working again (dovecot)
- New SSL certs have been purchased and installed.
- Home directories are now in a consistent hierarchical structure
based on username (if user's name is 'bogus' their home directory
will be /b/o/bogus, for example). This allows nginx to be set up
to do tilde username (~username) for accessing web pages in the
user's home directory.
- Some web page fixes were implemented in Grex's web site.
- In-house software, such as frontalk/backtalk might be replaced
with more modern & improved versions written in Go.

When is the next Board Meeting?
We just had it - it was in the Arb
So it appears we did not file our 990N in 2015 or 2017. We should probably do that soon so that we don't risk losing our charitable status, not that it matters all that much.
