Grex Coop Item 266: Board Meeting Agenda, 07 Feb 2010

I apologise for my tardiness.  The Board of Directors is scheduled to
meet at 19:00 (7:00 PM) EST, on February 7, 2010.  The meeting will be
in the Kids Room, upstairs at Zingerman's Next Door.

The agenda includes

Election of Officers
Staff Report
Scheduling the Next Meeting
Discussion of Grex Status and Future

Please suggest any changes here.

One thing to note.  Apparently, there is some kind of sporting event
that evening.  Zingerman's is asking for a five dollar ($5.00) per
person minimum this time.

I'll announce the election results as soon as possible after the
polls close at midnight tonight (Friday, Feb. 5).  That way, you'll
know who the Board members actually are.  ;-)

Won't be able to attend due to a bad case of being out of town.  We
plan to leverage this sporting event on Sunday by going out to dinner
at a restaurant that is normally quite crowded but won't be due to
abovementioned sporting event.

Re the agenda:  You might want to discuss the issue of how board,
staff, and users can communicate when Grex is down.  I believe that
tonster offered a VM running backtalk for that purpose.  That's a
good way to go in my opinion and could have other uses as well, e.g.
staff development machine.  (The idea that an organization like Grex
should be confined to one hardware box is *so* 20th century...)

Another issue - notification mechanism for status updates.  We
used to use HVCN for this, and currently Google I believe.  My
suggestion:  Twitter.  Lots of companies and other organizations
are using it for exactly this purpose.  Advantages include easy
access via a simple URL, log of all posts, builtin RSS feed so
that folks can get automatic notification of updates.

Kent, he did mention the name of the event, and I have heard of it, but
my life no longer revolves around television, so it's largely irrelevant
to me.

Re #0: also, don't forget to discuss specific stuff like: email and 
personalized web domains (veek.cyberspace.org - SDF has this).. and 
find out how much staff time you wish to allot for implementation.

I still have the grex-owned speaker phone that can be used for calls
into  the meeting from out-of-towners [conference call if more than one
needs to  call in]. Though I doubt there's a phone outlet we could use
at  Zingerman's.

except for my not having a laptop, my magicjack arrangement is complete and
with three 'extentions' all self powered. 
  
the magicjack is a very low current usb plugin and brainless to use. there
is NO ohter load on the laptop. al the phones are selfpowered.
  
i;ll bring the stuff in hopes.

oh! i jsut found out that magicjack had free conference calls too!
  
hwooppee! i have created a conference call 'room' now. 
  
adn it works.   
  
users would foirst call   305-848-8888  --- hten theere are two choices,
dial 1 to joine (do this) or 2 to create (alreadid this)
  
then you are asked for the ocnference room number which is:
  
    123,922,3740   

you will be joined to the conference call and told you are the (x)th joiner
adn there are (y) number of pppl on the call.
  
i love magicjack. hope someone can bring a laptop.

Will we be trying this again at the next meeting?  If so, we should make
sure it works on someone else's laptop and that we have time to get it
working prior to the meeting.  If the MagicJack device isn't an option,
we'll need to come up with something else.  Cell phones aren't the best
option due to small speakers but will do in a pinch.  The lack of a
phone line we can use is one disadvantage of Zingerman's.

my diagnosis of the experitment ... it almost worked ... is taht the
wirelss connection was not up to speed (intended).
  
my being late didn;t help the experiment either.  more prep time
would have helped.  magicjack sensed that there was a change of
machines as well as a chnage in locations and needed to receive
authgentication. when that was tried, teh wifi seemed unable to 
keep up. ... or ... there was a port blocked (i just thoguth of taht)
at zingies.  

i;ll check w/the mj ppl to get a better understanding. my bad. howeer
unicorn and i -did- test teh conferenceing from my place and it
workde JustFine (tm) ... no lag, good audio, there was some
squelching thogh so only onel pern could talk at a time, it seemed.
  
think simplex rathenr than duplex communicatins. courtesy woeuld
have to prevail.

if theres a phone line or a cell phone to host the call, I have a real
conferencing line that can be used for people to join conference calls.

I don't think there is phone we can use in Zingerman's next door (it
would probably be their business line).  But if a cell phone would be
listenable (bigger speaker?) that might be an option.

the conference call setu[p seems to work w/o a magic ajck login. 
 
unicorn adn i didn;t test all compbinations/permutatins but we did
test a couple.  i don;t remember explicitly whetnher or not i had
disconnencted from mj .
  
also  ... the point was to have a speaker phone connected to the
conferenece line. i do this around the house on a regular basis with
the 3 self-powered cordlwess units i brought to the meeting.
  
dialing into the cnference call could be done with any phn ... but from
the zingies locatoin, any phn connnections woeuld have to be selfpowered.
  
the cell phn could have as easily been didaled into the conf call and
unicorn (plus others) coudld have joined as well.
  
iirc, the last m-b0x board meeting was -totally- by tonsters' conference
line ... not a single ftf in a public place.

test prior to the meeting, under meeting conditions, to make sure it    
works?

When would be a good time for you to do the test and can we get a
couple volunteers to try dialing in?  I can be one of those dialing
in.  If we had a few more, we'd have a pretty decent test.

How does this work when there is only a cell phone in the meeting room?

Dial-in with it via cell or other means, and put the cell on speaker I
would imagine. There's a meeting code that goes out to the attendees and
then anyone attending remotely can hear/speak on that one line.

side.

Are there other folks, particularly board members, who would like
to try tonster's conference call number?  We need to do this fairly
quicky if we hope to use it at the next board meeting.  Let me
know and I'll see if we can't arrange short test.
