Coordinating Volunteers for Dungeon Preparation and Grex's Move

Grex is moving to a new location, affectionately called "The Dungeon".
We are going to need lots of volunteers to prepare the space and to do
the actual moving of Grex. This item is to coordinate the volunteers.
Sunday January 8, noon: Hanging Drywall

Currently kentn has volunteered for this.
We need one or two more people.
Saturday and Sunday January 14 and 15, 2pm: Prime and Paint
===========================================================
Currently robh and bartlett have volunteered for this. I need to know
which day(s) you can work.
I expect to be there both days.
We need about 3 or 4 people on each day.
Sunday January 22, time to be announced: MOVE!

Currently scg has volunteered a minivan, which I'd assume means that he
will be there. Bartlett said he can probably help.
We need lots and lots of additional volunteers. The move will probably be
spread out from noonish to late evening, so please specify what time of day
you can work.
Nephi also said he could help with one of these events, but I haven't
written down which weekend he will be in Ann Arbor.
Saturday January 7, 2pm: Planning Session

We need to figure out where to put all the stuff in the dungeon. This
meeting should result in a dungeon floor plan. We will probably need to
send people to CE and to the Dungeon to take measurements, count plug
sockets, etc., then meet up and plan how all these things physically fit
together. Also, this is a good time to plan the schedule for moving day,
and to try to forsee anything we might need to buy for the move.
Location is yet to be announced, but I think it would be warmest to take
measurements and then meet up at a restaurant or someone's house to discuss
plans.

I can only do stuff on Saturdays, since I work on Sundays.
And I'll have to arrange for transport with someone.

I can be there for the move, drywalling and planning.
Before the move takes place, can we meet somewhere for food
first? There are probably several people who might function
better that way, firts. I know I'm in that catagory myself.

A couple of points here:
1.) Since this room is in the process of being built and the drywall is not
yet up, I think it makes sense to decide where things are going to go
in the room and *then* decide where to put the electrical outlets, not
the other way around. That's backwards. To that end, maybe the planning
meeting should be held more than 1 day before the drywall goes up.
2.) I looked at the phone wiring and I don't like it. I'd like to replace
it with a standard type 66 punch down block and a 25 port RJ-11
distribution block. This will making testing alot easier in the future.
I'll volunteer the labor, if Grex buys the parts. About $50.00 or so.
3.) I *really* *REALLY* think we should consider renting a panel van or
a very small truck. My reasons are as follows:
A.) Most modern station wagans and minivans are actually alot smaller
than they look. It will be difficult to get our stuff in them.
B.) We also have a number of large heavy metal items with sharp
corners. Most passenger minivans and station wagons have finished
interiors that will probably be damaged by these items. This
won't be very fair to the people who loan these vehicles.
C.) There is a chance the loaner won't be able to show on the day
of the move. This would be bad.
D.) We have a number of large items that may not fit a minivan.
E.) I've called around for pricing. We can get an Econoline sized
van for $28.00/day and 0.28/mile. Pick up saturday evening, return
by Monday morning, we can have it over Sunday for a 1 day charge.
Add gas and tax, I figure no more that $50.00 total.
4.) This one is personal. I have a large tape drive in a 19" rack mount
that I purchased for Grex's use. It needs to come back to my place
for work. I had been given a semi-formal promise that it would get
moved the same day as all the other stuff was moved. It's pretty large.
Also, There are a number of items at CE that belong to Marcus that
we have been promising to return lo-these-many-moons-now. They should
also be moved on the day of the move.
5.) While I think there will be an urge to get Grex hooked up and working
as fast as possible, I strongly reccomend that the urge be resisted
until *ALL* the moving is done. Steve, or Marcus, or I can go to the
Dungeon at *any* time and get the Sun-3 running single-handedly.
However, there are a number of large items that need to be moved that
will require *many* hands and a large vehicle. This should be accomplished
while the many hands and vehicle are available, *before* anyone touches
the Sun-3 to set it up. All hardware should be moved to CE, hardware to
my place, Marcus's place, and anyone who will be taking the other
equipment/furniture that is at CE.

Well, I doubt we're going to totally re-wire at this point, although if
you don't have enough plugs, I'd be surprised. There's still time to
do a little more wiring if you can find someone to do it, though. It
would be nice to know for sure about the phone wiring before we cover
over the studs with drywall (or if you think that it would just be
easier to run phone wires afterwards, that's fine, but right now you
can get to the basement window easily. After the drywall is in that
won't be the case). Several weeks back, several of us (carl, mdw,
myself, at least) discussed ventilation of the wall cavity on the
outside wall. After the drywall is up, there will be a possibility of
moisture forming in the wall cavity between the basement brick/rock and
the drywall. One idea we had was to install some louvered vents at
floor and ceiling in the drywall to promote air circulation and
hopefully reduce moisture buildup in the wall. If we go with the vent
solution, we'd need to get those louvered vents installed around the
time of painting (will require some hole cutting in the drywall
probably best done before painting). We kind of skipped over installing
a moisture barrier in that exterior wall, so if anyone has an opinion
on that, now would be the time to speak up so we can organize and do
that if it's deemed necessary/desireable.
If anyone is concerned about the broken hanging flourescent lamp
fixture (one of two at the Dungeon), I've purchased the repair parts
and new flourescent tubes for that lamp which I planned to install on
drywall day. (There is one working flourescent fixture currently
there).

Any phone wiring I do, I'll do after the walls are up. Unlike a home, you
*don't* want this kind of wiring to be hidden inside of a wall. Easy
accessability and repair is most important, what it looks like is trivial.

(I'd just like to take a moment to reinforce the fact that if you've
volunteered for something, you *must* show up. On time. If you
can't, you should notify Valerie ASAP so she can find someone else.
It would be better if you could find someone else on your own.
I don't mean to imply that Grex folks are generally unreliable, but it's
been my experience in the past that people will say they'll do
something, and then either not show up, or show up several hours
late. Especially on the day of the move, we can't afford to have
no-shows.)
I'll come to the planning session on Saturday, BTW. I don't think
I'll be able to do anything else, since my plane to Pittsburgh leaves
the afternoon of the 15th.

I should note that while I will definately be at the move, there is a
chance the minivan won't be. It belongs to my parents, and while they
will probably let us use it they have a tendency not to know until the
last minute whether they need it.

Re #13,#14: Staff can decide to spend some amount from its preauthorized
budget. The van would fit in that, I believe. The board cannot function
until it decides to expand itself.

Ok, since a number of board members think it's a good idea, there is
a chance the minivan can't be there, and srw shares my believe that the
cost of the van fits within the guidelines of staff descriminatory
spending, I'll go ahead and make the reservation for it tomorrow. The
guy at the rental place said that we need to reserve *now* to make sure
it will be available when it's needed. I'll put it on my MC and get
reimbursed later. We need it for the 21-22 right?
Oh, BTW, since this is a SUnday, has anybody contacted Ken to see if
*he's* going to be there? I mean, it would be a shame if we got all these
people and a van there and couldn't get into the warehouse. :-)
I can be at the meeting this Saturday, where is it?
I can be at the move.
I will arrange to do the phone wiring sometime after the painting and
before the move at my convienience. Who has keys to the dungeon?

I haven't checked with Ken. That's a good idea.
We hadn't picked a location yet for the planning session. How does
the basement of Amer's sound? Would it work to start off by splitting
into two groups, one to take measurements and notes about the dungeon,
and the other to take measurements and notes about the Grex equipment
that's currently at Ken's? Then the two groups could meet back up
again at Amer's, possibly get some soup or some-such to warm up, and
then spend some time doing planning.
I have keys to the dungeon. So does Carl, and I think Mary Remmers
and STeve do, too.
